Each student whose missing record would leave a published rate without the supporting documentation §74112(m) requires, by roster row and student ID, with the citation and the figure it weakens.

How it works

    Fill in the roster

    One row per student, from your attendance export and graduate records. The template on the start page has a column for every data point; most columns only matter for graduates.

    Upload the CSV. It is read on your computer, in the browser. You see every rate your fact sheets will show and the full coverage list before you pay, and can download the list as a CSV.

    Order and fix

    Pay $249. Only per-program totals are sent to us; the PDFs arrive by email and on your order page. Fix the rows the coverage list names and rebuild for free.

The first year takes as long as your records take to gather. If you have never recorded when a graduate's job was verified, the coverage list will be long, and it tells you which rows matter for which figure.

What the Bureau cites schools for

The Legislature's March 2026 sunset-review background paper on the Bureau lists “Failure to maintain supporting documentation for data reported on the school performance fact sheet and/or on the STRF assessment form” first among the most common violations for which citations are issued (background paper, page 15).

The records are listed in 5 CCR §74112(m): for every student counted, contact details and program dates; for every graduate counted as employed, the job, hours, salary and the date the school verified it; the employer's contact details and the written verification; evidence of self-employment; every attempt to reach a graduate or employer; exam results; and documentation for anyone counted as unavailable. They must be kept for at least five years and given to the Bureau on request.

What we found in filed fact sheets

We read a random sample of School Performance Fact Sheets filed with the Bureau for the 2024 reporting year: 130 drawn from the 758 institutions listed on the Bureau's 2024 annual-report site, of which 118 could be read (11 were scanned images and one had a layout we could not read). 56 of the 118 (47%) printed at least one completion, placement or licence-exam figure that did not match the counts on the same sheet, or covered the wrong calendar years. 45 (38%) were off by more than 5 percentage points, showed an impossible count, or covered the wrong years. Measured 1–2 October 2026.

Fact Sheet Desk prints each rate from the counts on the same sheet, so the two cannot disagree, and it covers the two calendar years §74112(e)(2) requires for the reporting year you choose.

Every program and every location is included. The sample barber school's two programs at two campuses come to 4 fact sheets; a school with eleven programs at three locations gets 33 for the same price. What it is not

  • Not a filing service. You review the documents, publish the fact sheets and file the annual report yourself.
  • Not legal advice, and not a statement that a fact sheet is correct for the Bureau.
  • It does not contact your graduates or employers. If placement data was never collected, the placement rate is low and the coverage list says which records are missing.
Who has to publish a School Performance Fact Sheet?
A private postsecondary institution approved by the Bureau must give every prospective student a current fact sheet before enrollment (Education Code §94910) and have it current by 1 December (5 CCR §74112(e)(2)). The Bureau asks for one for each approved program at each main and branch location (the Bureau's annual-report page). An institution accredited by WSCUC or ACCJC is exempt from the Act under Education Code §94874(i), unless §94874.2 removes the exemption because it is approved for veterans' benefits and is not an independent institution of higher education.
Our program is too new to have two years of data.
Mark it as new in the questionnaire. The fact sheet then carries the statement Education Code §94910(e) requires, the date the program began, and the estimated date two full years of data will be available (5 CCR §74112(b)).
We don't take federal student aid.
The fact sheet prints the statement 5 CCR §74112(g)(2) requires instead of the loan table: either that your students are not eligible for federal student loans, or that the school is eligible but chooses not to participate. You pick which one is true.
Do you see our students' names?
No. The roster is read in your browser. When you order, we receive your institution details and the totals per program, location and year, nothing about any individual student. The coverage list stays on your computer.
What does the coverage list check?
For each student counted on a fact sheet: contact details and program dates (§74112(m)(2)); the job, start date, hours, salary and the date employment was verified (§74112(m)(3)); employer contact details (§74112(m)(4)); evidence of self-employment (§74112(m)(5)); attempts to reach graduates not recorded as employed (§74112(m)(6)); documentation of any unavailability (§74112(m)(8)); the hours standard and job classification code (§74112(d)(3)); and licence-exam results (§74112(j)).
Can I rebuild after fixing rows?
Yes, as many times as you need, for the same institution and reporting year, from your order page. A different institution or a different reporting year is a separate order.
Will the Bureau accept these fact sheets?
We cannot tell you that, and nobody outside the Bureau can. What the documents show is the figures computed from your roster with the definitions in the regulation, in the layout the regulation sets out. You review them, publish them and file them.
What if the documents never arrive, or something fails?
If preparing the documents fails, the payment is refunded automatically. If the delivery email could not be sent and the documents were never opened or downloaded, it is refundable on request with no time limit.
